Reaching out to the correct audience

Recently, my company is in the midst of organising a seminar. This seminar is targeted at the directors and officers of private companies from a specific industry.

As i am still new to the company, this time, i am taking the back seat. The only task that i am assigned to do  is to do follow up calls to every company to check if they are interested to attend our seminar.

As far as i know, they had sent out an invitation to all the companies they could reach out to 2 weeks ago.

When i was given the contact list, i was a little surprised.

I realised that they had sent the invitation to the wrong person. they were sending the invitations to generic email addresses which would had been ignored, deleted or even labelled as spam by the admin or front desk personnel. Info@somecompany.com would not reach the board of directors.

Ideally, it would have been far more effective if the invitations could have been sent directly to the Directors email addresses. If not, it should be directed to the media relations department. For example, media@somecompany.com.

Apparently, the email contacts are taken from the industry regulators/association which are generic. It would make more sense to visit every company website and get their contact. If necessary, make calls to the company to get their directors email addresses or their secretaries’ email AND phone number. Its a hassle but it it would definitely reach out to them.

Next, reach out to the big industry players first. If we can persuade them to attend the seminar, the smallers players might be convinced to attend too.

If possible, reach out to the industry regulator. By getting their support, half the battle is won. Companies receive a lot of invitations, so why should they attend our seminar? By getting the regulator’s support, we are sending this message: the regulator is supporting because they believe in us, don’t you want to believe in us too? By doing this, we gain a lot of credibility.

That is an important but tedious task to accomplish. So how are we going to do that? One of the ways is to send a letter of invitation to work with us on this seminar from the CEO of our company to the head of the regulator. By having the CEO to send the letter, it shows our sincerity that we are keen to work with them. The head of the regulator is the decision maker; it makes things easier when he approves.


Our Great Reliance on Facebook

Do you feel very touched and delighted when someone actually remembers your birthday?

Before the facebook era, I tend to use this simple method of gauging who are indeed my friends: if they can remember my birthday.

By that, I don’t need them to give me any presents; just a simple, “hey, it’s your birthday today!” can actually make my day.

However, when facebook took over the world, I am certain that this method is obsolete.

The very first time when I registered facebook in 2006, I had unknowingly set my birth date as Jan 1.

I had never bothered to change it as I would never think that could bother me at all.

During the past few years, facebook had made some rather “impressive” improvements on the user interface. This includes the all time favourite birthday reminder. Whenever a friend’s birthday is just around the corner, his/her name will appear in the birthday reminder and there will be an option for you to leave a birthday message.

For the past few years, I had received quite a number of birthday greetings on Jan 1.

Some were from acquaintances who do not know my exact birth date but I had quite a few from my good friends who actually know my exact birth date.

Well, it seems pretty clear that the heavy reliance on facebook has struck on how we relate to others socially. Bane or boon, only time will tell.

P.S. My birthday is March 10.

Understanding human relations

People management is never an easy task, especially when one is working in the corporate world. There is a chinese saying, 知己知彼,百战百胜; he who has a thorough understanding of himself and the enemy is bound to win all battles.

Part of my job is to persuade people in the shortest time possible. Often, I get a no as an answer. It is not that these people are unable to commit, but is that there is no reason for them to say yes. Hence, I spent a lot of time understanding someone and his/her background before moving in for the kill.

Public relations(PR) is indeed a daunting task. The way you pitch your request, email or speech affects the decision outcome.

Some people has a very huge ego, and you need to make them feel good and worship them like gods. It’s not licking their boots but but more of feeding their ego. For example, you are trying to invite a very senior person to your conference and he is very egoistic. You do not say things like oh you are very smart and wise and handsome and blah blah blah. Instead, you should tell him why he should attend our event and how important is his presence at the event. This gives him a feeling of great importance. Maybe he will consider.
